Two approaches to a brandbook: universal and industry-specific

A typical brandbook made for a coffee shop or beauty salon and a brandbook for a clinic are different documents in content, even though they may look similar externally. The difference manifests not in fonts, but in sections that determine whether the clinic will survive a check by the FAS or a patient's complaint to Roszdravnadzor.

Compliance: a section without which a brandbook is just a pretty presentation

The FAS examines medical advertising more strictly than any other category, and this must be built into the document at the development stage, not put out the fire afterwards. A quality compliance block includes:

  • Disclaimer rule — a warning about contraindications must occupy at least 5% of any advertising layout (Federal Law 38 "On Advertising", Article 24);
  • ERID marking for all paid advertisements on the Internet, indicating license details, is established by Federal Law No. 347-FZ and by the Government of the Russian Federation Decree No. 974; the fine is 200–500 thousand rubles for legal entities (Article 14.3 of the Code of Administrative Offenses of the Russian Federation, paragraph 16)
  • Rules for mentioning the license on the website, in social networks, and in offline materials — number, issue date, issuing authority;
  • Prohibition on guarantees of treatment results in any formulations — this includes website texts, social media posts, and call center scripts;
  • Regulation for handling reviews and personal medical data of patients when publishing "before/after" cases.

Without this section, a brandbook does not protect the clinic — it only decorates it.

Tone of Voice: one style, different delivery across channels

A doctor who speaks to a patient in dry, bureaucratic language reduces trust even before a diagnosis is made. Studies confirm: a warm and positive tone increases patient compliance with recommendations, reduces anxiety, and increases the likelihood of a follow-up visit. This is not a 'soft skill,' but a conversion parameter that must be literally spelled out in the brandbook — with examples of phrases and prohibited formulations.

ChannelThe tone featureWhat is not allowed
WebsiteConfidently, informatively, without pressuring fearPromising a guaranteed result
Social MediaLiving language, empathy, answering questions without a diagnosis in commentsMaking diagnoses publically
WhatsAppShort messages, quick response, personal address by nameTemplate robotic responses without context
Call centerCalm speech tempo, pause for questions, reducing anxietyHurry, interrupting, medical jargon without explanations

Implementation: where branding investments are lost

According to marketing agencies' estimates, 50–70% of clinics lose half to three quarters of potential profit due to the same mistake — a mismatch between the design and the real level of service. The site looks like a premium chain, the administrator at the reception communicates like in a district clinic, and the doctor during the appointment is unaware that the clinic even has a brand style. In such a situation, the brandbook does not work because it only lives in a PDF file with the marketer.

The working operational model of implementation looks different:

  1. A person responsible for the brand is appointed — not a designer, but someone with the authority to demand compliance with standards from doctors and administrators;
  2. The brandbook is adapted to roles: for marketers — a guide to layouts, for administrators — scripts and disclaimers, for doctors — principles of Tone of Voice during appointments;
  3. An audit of contact points is conducted — from signage to the thank-you form for a visit;
  4. Once a quarter, the real practice is checked against the document, not the other way around.

Metrics and ROI: how to measure the effect of a brandbook in numbers

A brandbook cannot be evaluated 'by eye' — whether it pleases the owner or not. Evaluation should be based on the dynamics of specific business indicators.

  • Website conversion. After visual style and structure reprocessing, one of the clinics (the Enjoy Digital case) increased conversion by 30%, reduced patient acquisition cost, and raised the number of primary patients by more than 30%;
  • Brand demand. The medical holding CL Doctor implemented a unified identity; according to marketing agency estimates, such projects usually demonstrate significant growth in patient flow and search queries;
  • PAC (patient acquisition cost) — is calculated using the formula (marketing expenses + sales expenses) / number of new patients during the period. This is a key metric for evaluating whether branding pays off;
  • Return on investment horizon. The first leads after rebranding and ad launch appear within 2–4 weeks, a stable flow of 50+ applications per month forms by 3–4 months, and ROMI exceeds 300% — usually by 6–9 months.

NPS and LTV are added to this package as long-term effect indicators: the correct Tone of Voice and unified service across all contact points work not for the first conversion, but for repeat visits and referrals.

How much does development cost and what does the price depend on

The price range on the market is huge, and the difference is not explained by greed of agencies, but by the volume of actually worked-out sections.

LevelCostWhat is included
Basic70–150 thousand ₽Logo, palette, fonts, minimal set of templates
Medium150–300 thousand ₽+ corporate style on 5–7 media, basic Tone of Voice
Full300–600+ thousand ₽+ compliance section, Tone of Voice across channels, application on 10+ media, implementation guide

The data is based on the practice of Almond Medical, Medico-marketing, Fortuna Bureau and DMT Group agencies. Paying for the full version is worth it if the clinic works with paid advertising and plans scaling — the risk of a fine for a single unbranded campaign sometimes exceeds the price difference between the basic and full brandbook.

What should be in the final document

A full-fledged healthcare brandbook, according to the logic of ICG Consulting's research, consists of 12 sections — and the visual identity takes up no more than one-third of the volume. The rest is Voice & Tone, rules for implementing digital channels (separately for advertising, website, Instagram, WhatsApp, Google My Business), rules for using elements, and the brand manifesto. A clinic that orders only a logo with a palette pays for a display window without a foundation — and sooner or later pays for the difference in fines from the FAS or loss of patients due to the gap between the promise and the actual service.
